Go to Settings > Integrations > Calendar Synchronisation

How to use it

Follow these steps to diagnose and fix issues preventing successful calendar sync:

Review Sync Status and Error Logs

  1. Go to the Calendar Sync section within Integrations.

  2. Look for any immediate status indicators, warning messages, or error logs provided by the system. These often provide specific details regarding the nature of the failure, such as invalid credentials, connection timeouts, or specific event conflicts.

  3. Note down any error codes or messages for further investigation or when contacting support.

Check Calendar URL or API Key

The most common cause of sync failure is an incorrect or expired calendar URL (e.g., iCal link) or API key.

Check External Calendar Permissions and Sharing Settings

Your external calendar must be set to allow sharing and access for successful sync.

Start a Manual Sync

After checking credentials and permissions, attempt to manually trigger a sync from in the Calendar Sync settings. This can help confirm if the underlying connection issues have been resolved or if the problem persists immediately after an attempt. Observe any live feedback or error messages generated during the manual sync.

Check for Conflicting Events or Invalid Data

Occasionally, a specific event or series of events within either calendar can disrupt the sync process.

Confirm Timezone Consistency

Differences in timezone settings between the platform and your external calendar can lead to perceived sync failures, where events appear at incorrect times.

Re-establish the Calendar Connection

If the above steps do not resolve the issue, disconnecting and reconnecting the calendar integration can often fix persistent problems.

Test with a Simple Event

After attempting various fixing steps, create a new, simple event (e.g., "Test Event") on your external calendar and observe if it syncs correctly with the platform. Similarly, create an event on the platform and check if it appears on your external calendar (if bidirectional sync is enabled). This helps to isolate whether the issue is with specific complex events or the general sync mechanism.

Regularly monitor the sync status in the platform and address any warnings or errors promptly.

  • Use a dedicated calendar on your external platform solely for integration purposes to avoid clutter and potential conflicts from personal appointments.

  • Be aware of the set sync interval. For immediate updates, use the manual sync option.

  • Make sure all API keys, passwords, and sharing permissions for external calendars remain valid and updated.

  • Reduce direct manual edits on external calendars that might conflict with the sync settings, especially for events managed primarily by the platform.
