The Memberships tab centralises your organisation's memberships. Tourism operators can track membership expiry dates and benefits, ensuring ongoing access to industry resources. For example, track discounted rates on tour guide certifications or accreditation programs.

How to use it
View Existing Memberships
When you access the tab, you see a list of all memberships associated with your organisation. Each entry displays key details such as the membership name, type, start date, expiry date, and current status. You can sort this list by clicking on the column headers (e.g., Membership Name, Expiry Date) to arrange the data in ascending or descending order, allowing you to quickly identify specific memberships.
Add a New Membership
Click the Add New Membership button, located at the top right of the membership list. A form appears, prompting you to enter relevant details.
Edit an Existing Membership
Locate the membership you want to change in the list.
Click on the membership entry or an Edit icon (represented by a pencil icon) next to it.
The membership details form reopens with the existing information.
Make changes to any field, such as updating the expiry date after a renewal, changing the status, or adding notes.
Click Save to apply your changes.
Renewing a Membership
When a membership approaches its expiry date, update its details to reflect a renewal.
Edit the relevant membership and update the Expiry Date to the new end date of the renewed period.
Adjust the Status to "Active" if it was previously set to "Pending Renewal" or "Expired".
Optionally, add a note regarding the renewal date and any changes to the membership terms.
Save your changes.
Deleting or Archiving a Membership
For memberships that are no longer active or relevant, you can delete or archive them.
Select the membership you want to remove.
Look for a Delete or Archive option (an 'X' icon or a trash can icon).
Confirm your action when prompted.
Archiving typically retains a record for historical purposes without cluttering the active list, while deleting removes it permanently.
Filtering and Searching
Use the search bar to find specific memberships by name or keyword. Apply filters (if available) to narrow down the list by Membership Type or Status (e.g., view only "Active" memberships or "Expired" memberships). This allows you to manage and report on memberships.
Tips
Maintain accurate data by regularly reviewing and updating all membership details, especially expiry dates and contact information.
Inaccurate data can lead to missed renewals or loss of benefits.
Assign a team member or department to be responsible for managing the Memberships tab.
This ensures accountability and consistent data entry.
Update the status of each membership (e.g., "Active", "Pending Renewal", "Expired").
This provides a clear understanding of the status of each affiliation.
Summarise key benefits, resources and contacts for each membership.
This ensures your team understands the value of each membership.
Set up internal reminders to review memberships well in advance of their expiry dates.
This allows time for budget allocation, negotiation, or decisions about renewing.
If you can customise fields, use them to capture unique data points relevant to your organisation's membership requirements, such as membership numbers, login credentials, or account managers.
Archive old memberships instead of deleting them.
This retains a record for historical analysis or compliance purposes without cluttering the active membership list.
Regularly audit your memberships to assess their relevance and value to your organisation's goals.
This helps in making informed decisions about which memberships to maintain or discontinue.
