Territory management groups organisations into geographical areas. This allows tourism operators to optimise resource allocation, for example, by assigning sales teams to specific regions to increase local engagement and sales.

How to use it

View Existing Territories:

  1. Upon accessing the tab, a dashboard displays a list of all defined territories.

  2. Each entry includes the territory name, a description, the number of organisations assigned, and the responsible team or individual.

  3. Use the search bar and filter options to locate specific territories.

Create a New Territory:

  1. Click the + Create New Territory button, located at the top-right of the territory list.

  2. A dialogue box prompts you to:

  • Enter the Territory Name (e.g., "Queensland North Sales Region," "Sydney CBD Operations").

  • Provide a concise Description outlining the territory's scope or purpose.

  • Define the geographical or logical boundaries for the territory. This may involve selecting specific postcodes, regions, states, or custom criteria relevant to your operational model. Ensure the boundaries are distinct to minimise overlap unless intentionally designed for shared responsibilities.

  • Assign a Territory Manager or primary contact person from your team. This individual will be the designated point of contact for enquiries related to this territory.

  1. Click Save to finalise the creation of the new territory.

Edit an Existing Territory:

  1. Locate the territory you wish to modify from the list and click the Edit icon (represented by a pencil) next to its name.

  2. The editing interface allows you to update the territory name, description, boundary definitions, and assigned territory manager.

  3. Make the necessary adjustments and click Save Changes to apply your updates.

Assign Organisations to a Territory:

There are two methods for assigning organisations:

Individual Assignment:

  1. Go to an organisation's profile page.

  2. Within the Organisation Details section, locate the Territory field and select the appropriate territory from the dropdown menu.

  3. Save the organisation's profile to apply the change.

Bulk Assignment:

  1. From the Organisation Territory tab, select a territory.

  2. Within the territory's detail view, locate the Assign Organisations button.

  3. You can then search for and select multiple organisations from your database to assign to this territory. Alternatively, some systems offer the ability to filter organisations (e.g., by postcode) and then bulk assign them to a matching territory.

  4. Confirm the assignment to update the organisation records.

Reassign Organisations:

To move an organisation from one territory to another, either edit the individual organisation's profile and update the Territory field, or use a bulk reassignment tool if available within the territory management interface. This involves selecting organisations from an existing territory and then choosing a new territory for them.

Delete a Territory:

  1. Select the territory you intend to remove.

  2. Click the Delete icon (a rubbish bin or 'X').

  3. A warning prompt appears, asking how to handle organisations currently assigned to this territory. Options include:

  • Reassigning them to another existing territory.

  • Setting their territory field to 'Unassigned'.

  • Proceeding with deletion only if no organisations are currently assigned.

  1. Confirm your choice to proceed with the deletion. Exercise caution when deleting territories, as this action cannot always be reversed easily.

Sync Data:

For systems that integrate with external data sources or undergo frequent updates, a Sync Data or Refresh option may be available. This ensures that all territory assignments and organisation details are current and accurately reflected across the platform. It is good practise to sync data after significant bulk operations.

Tips

  • Plan Territory Design: Before creating territories, define their purpose, boundaries, and the criteria for organisation assignment. A well-planned structure minimises future reorganisation efforts.

  • Maintain Consistent Naming Conventions: Establish and adhere to a clear, logical naming convention for all territories (e.g., "State - Region - Team"). This improves clarity and simplifies navigation for all users.

  • Regularly Review and Update Territories: Market dynamics and operational structures evolve. Periodically review your territory definitions and organisation assignments to ensure they remain relevant and optimised.

  • Communicate Changes Effectively: Inform all relevant teams and individuals (e.g., sales, operations, marketing) about any changes to territory definitions or organisation assignments. This ensures everyone operates with current information.

  • Avoid Over-Segmentation: While detailed territories can be beneficial, creating too many small or overlapping territories without clear distinctions can lead to confusion and inefficiency. Strive for a balance that supports your operational goals.
