Creating Client Tags

Tags help you organise and categorise your clients in ways that make sense for your business. Whether you want to group clients by industry, relationship stage, location, or any other criteria, tags make it simple to find and manage related clients.

What are tags?

Tags are custom labels you create and assign to clients. Unlike fixed categories, you can:

  • Create as many tags as you need

  • Assign multiple tags to a single client

  • Use tags to filter and search your client list

  • Create mailing lists based on tags

  • Track groups of clients over time

Common tag examples

Tourism operators often use tags like:

By relationship type

  • Corporate

  • Trade Partner

  • Media

  • Government

  • Retail Customer

By location

  • Brisbane

  • Gold Coast

  • Regional QLD

  • Interstate

  • International

By status

  • VIP

  • New Client

  • Follow Up Needed

  • On Hold

  • Seasonal

By source

  • Trade Show

  • Website Enquiry

Creating a new tag

From the client list

  • Go to CRM from the main menu

  • Select Clients from the hub menu

  • Click the Tags button in the filter bar

  • Click Manage Tags

  • Click Add Tag

  • Enter a tag name

  • Choose a colour (helps identify tags at a glance)

  • Click Save

While editing a client

  • Open a client record

  • Find the Tags field

  • Start typing a new tag name

  • Click Create "[your tag name]" when it appears

  • The tag is created and applied to this client

Applying tags to clients

Tag a single client

  • Open the client record

  • Find the Tags field

  • Click to open the tag selector

  • Tick the tags you want to apply

  • Click outside to close — changes save automatically

Tag multiple clients at once

  • Go to Clients

  • Tick the checkbox next to each client you want to tag

  • Click the Tag button in the bulk actions bar

  • Select the tag(s) to apply

  • Click Apply

All selected clients now have those tags.

Managing your tags

Editing a tag

  • Go to Clients

  • Click Tags in the filter bar

  • Click Manage Tags

  • Click the pencil icon next to the tag

  • Update the name or colour

  • Click Save

The tag updates everywhere it's used.

Deleting a tag

  • Go to Manage Tags (as above)

  • Click the bin icon next to the tag

  • Confirm deletion

The tag is removed from all clients. This doesn't delete the clients themselves.

Merging tags

If you have duplicate or similar tags:

  • Go to Manage Tags

  • Click Merge Tags

  • Select the tags to merge

  • Choose the tag name to keep

  • Click Merge

All clients with the merged tags now have the single surviving tag.

Using tags to filter clients

  • Go to Clients

  • Click Tags in the filter bar

  • Select one or more tags

  • The list shows only clients with those tags

Filter by multiple tags

  • Any of these tags — shows clients with at least one selected tag

  • All of these tags — shows only clients with every selected tag

Tags in reports and exports

When exporting client data, tags are included as a column. This lets you:

  • Sort exported data by tag

  • Create filtered reports for specific client groups

  • Track tag distribution over time

Tips for effective tagging

  • Keep it simple — start with a few key tags, add more as needed

  • Be consistent — agree on tag names with your team

  • Review regularly — archive or merge tags that aren't being used

  • Use colours wisely — consistent colours help recognition (e.g., red for VIP)

  • Don't over-tag — if a client has 10+ tags, consider if they're all useful

Tags vs segments

Tags are manual labels you apply to individual clients. Segments are dynamic groups based on criteria that update automatically.

Use tags when you want specific, deliberate categorisation. Use segments when you want automatic grouping based on client data.
