Client Booking History

Understanding a client's booking history helps you provide personalised service and identify opportunities. Launchpad tracks all bookings associated with each client, giving you a complete picture of their relationship with your business.

Why booking history matters

Knowing a client's booking history helps you:

  • Personalise service — acknowledge their preferences and past experiences

  • Identify patterns — notice seasonal trends or favourite products

  • Upsell appropriately — suggest relevant additions based on past bookings

  • Reward loyalty — recognise and appreciate repeat customers

  • Resolve issues — quickly reference past bookings when handling enquiries

Viewing a client's booking history

From the client record

  • Go to CRM from the main menu

  • Select Clients and find the client

  • Open the client record

  • Click the Bookings tab

You'll see all bookings associated with this client.

Booking list details

Each booking shows:

  • Booking reference — unique identifier

  • Date — when the booking is for

  • Product/Experience — what was booked

  • Status — confirmed, pending, completed, cancelled

  • Value — booking amount

  • Booked by — contact who made the booking

Understanding booking information

Booking statuses

  • Pending — booking received, awaiting confirmation

  • Confirmed — booking accepted and confirmed

  • Completed — experience has taken place

  • Cancelled — booking was cancelled

  • No-show — guest didn't arrive

Booking details

Click any booking to see full details:

  • Guest names and numbers

  • Selected options and add-ons

  • Special requirements noted

  • Payment status

  • Communication history for that booking

Booking statistics

The Bookings tab shows summary statistics:

  • Total bookings — how many times they've booked

  • Total value — cumulative spend with your business

  • Average booking value — typical transaction size

  • First booking — when they became a customer

  • Last booking — most recent activity

  • Favourite product — most frequently booked experience

Filtering booking history

Find specific bookings:

  • Open the client's Bookings tab

  • Use the filter options:

- Date range — bookings within specific dates - Status — show only confirmed, completed, etc. - Product — bookings for a specific experience - Value — above or below certain amounts

Bookings across contacts

If a client organisation has multiple contacts:

  • Each contact's personal bookings appear on their contact record

  • All bookings appear on the main client (organisation) record

  • You can see who made each booking

Example

Client: Sunset Tours (organisation)

  • Contact: Sarah (made 3 bookings)

  • Contact: Michael (made 5 bookings)

The Sunset Tours client record shows all 8 bookings, while each contact shows only their own.

Creating a booking for a client

From the client record:

  • Open the client record

  • Go to the Bookings tab

  • Click New Booking

  • Select the product/experience

  • Choose date and options

  • Complete booking details

  • The booking is automatically linked to this client

Linking a booking to a client

If a booking wasn't initially linked:

  • Find the booking

  • Click to open booking details

  • Click Link to Client

  • Search for and select the client

  • Save

The booking now appears in the client's history.

Booking history and loyalty

Use booking history to identify your best customers:

VIP clients

Create a saved filter for clients with:

  • 5+ completed bookings, or

  • Total spend over $5,000, or

  • Booked in each of the last 3 years

At-risk clients

Identify clients who haven't booked recently:

  • Last booking over 12 months ago

  • Previously regular booker

  • No recent communication


These clients may need re-engagement.

Exporting booking data

Export a client's booking history:

  • Open the client record

  • Go to the Bookings tab

  • Click Export

  • Choose format (CSV or Excel)

  • Download the file

Useful for:

  • Client reviews and meetings

  • Financial reconciliation

  • Trend analysis

Booking history in reports

Client booking data feeds into reports:

  • Revenue by client — see top customers

  • Repeat booking rate — measure loyalty

  • Client lifetime value — total revenue per client

  • Product popularity — by client segment

Privacy and booking data

Client booking history contains personal information:

  • Only share with those who need access

  • Clients can request their booking data

  • Respect privacy when discussing client history

  • Follow your organisation's data policies
