Using the Event Scanner

The event scanner lets you check in attendees quickly by scanning the QR codes on their tickets. It works on any device with a camera — phone, tablet, or laptop.

Before the event

Set up scanner access

To use the scanner, you'll need access to the event:

  • Open your event

  • Click Event Scanner or Check-in

  • You'll see the scanner page

Test the scanner

Before your event, do a quick test:

  • Open the scanner on your device

  • Make sure your camera is working

  • Try scanning a test ticket (register yourself)

  • Verify the check-in records correctly

Share scanner access

If you have a team helping with check-in:

  • Share the scanner link with them

  • They'll need to authenticate with their Launchpad account

  • Alternatively, use the PIN/token for quick access

On the day

Opening the scanner

  • Go to your event in Events Management

  • Click Scanner or navigate directly to the scanner URL

  • Allow camera access when prompted

  • The scanner is ready

Scanning attendees

  • Ask the attendee to show their ticket QR code

  • Point your camera at the QR code

  • The scanner reads it automatically

  • You'll see one of these results:

Success (green):

  • Attendee name and ticket type displayed

  • "Checked In" confirmation

  • Scanner auto-resets after 3 seconds

Already checked in (yellow):

  • Warning that this ticket was already scanned

  • Shows when they were first checked in

  • Prevents duplicate check-ins

Invalid (red):

  • The QR code isn't valid for this event

  • Ask the attendee to verify their ticket

Manual search

Can't scan the QR code? Use manual search:

  • Click Manual Search or the search icon

  • Search by:

- Attendee name - Ticket number - Order number

  • Select the attendee from results

  • Click Check In

Undoing a check-in

Made a mistake? Undo a check-in:

  • Search for the attendee

  • Find them in the results

  • Click Undo Check-in

  • Confirm the action

Monitoring check-ins

The scanner shows real-time statistics:

  • Total registrations — how many people registered

  • Checked in — how many have arrived

  • Pending — how many haven't arrived yet

  • Check-in rate — percentage checked in

These numbers update live as you scan.

Tips for smooth check-ins

  • Use a tablet — bigger screen, easier to see

  • Good lighting — helps the camera read QR codes

  • Steady hands — hold the device still while scanning

  • Backup plan — have manual search ready for issues

  • Multiple devices — for large events, use several scanners

  • Test beforehand — make sure everything works before guests arrive

Troubleshooting

Camera not working

  • Check browser permissions for camera access

  • Try refreshing the page

  • Switch to a different browser

  • Ensure no other app is using the camera

QR code won't scan

  • Ask attendee to brighten their screen

  • Try manual search instead

  • Check if ticket is for this event

No internet connection

  • The scanner needs internet to verify tickets

  • Ensure you have a stable connection

  • Consider a mobile hotspot as backup
