Scanning Event Tickets

The event scanner is your go-to tool for checking in attendees. It reads QR codes from tickets and records who's arrived — all from your phone, tablet, or laptop.

Accessing the scanner

From Events Management

  • Find and open your event

  • Click Scanner or Check-in

  • The scanner opens in your browser

You can also access the scanner directly at:
/events/[your-event-id]/scanner

Setting up the scanner

Allow camera access

When you first open the scanner:

  • Your browser asks for camera permission

  • Click Allow

  • The camera preview appears

  • You're ready to scan

Camera tips

  • Use your rear camera for better focus

  • Ensure the camera lens is clean

  • Landscape mode works well on tablets

  • Portrait mode is easier on phones

How to scan

Basic scanning

  • Ask the attendee to show their ticket QR code

  • Hold your device steady

  • Point the camera at the QR code

  • Position the code within the scanner frame

  • The scanner reads automatically — no need to tap

Getting a good scan

For best results:

  • Distance — hold device 15-30cm from the QR code

  • Angle — keep camera parallel to the screen/paper

  • Lighting — ensure adequate light on the QR code

  • Steadiness — keep your hands still

  • Screen brightness — ask attendee to increase if dim

Scan results

Successful check-in (green)

When a valid ticket scans:

  • Green confirmation banner appears

  • Attendee's name is displayed

  • Ticket type is shown

  • Check-in time is recorded

  • Scanner resets after 3 seconds

Already checked in (yellow)

If the ticket was previously scanned:

  • Yellow warning banner appears

  • Shows first check-in time

  • Prevents duplicate entries

  • Ask the attendee if there's been a mistake

Invalid ticket (red)

If the code isn't recognised:

  • Red error banner appears

  • Possible reasons:

- Wrong event - Cancelled registration - Fake or invalid code

  • Use manual search to verify

Manual search

When scanning won't work:

  • Click Manual Search or the search icon

  • Enter search criteria:

- Attendee name - Email address - Ticket number - Order reference

  • Review the results

  • Click Check In next to the correct person

When to use manual search

  • QR code damaged or unreadable

  • Phone screen cracked or too dark

  • Attendee forgot their ticket

  • Ticket printed too small

  • Technical issues with camera

Multiple scanners

For larger events, use multiple devices:

Setting up additional scanners

  • Open the scanner link on each device

  • Each device can scan independently

  • All check-ins sync to the same event

  • Real-time updates across all devices

Assigning devices

Consider:

  • One device per entry point

  • Extra device for troubleshooting

  • Backup device charged and ready

Scanner statistics

The scanner displays live statistics:

  • Registered — total expected attendees

  • Checked In — arrived so far

  • Remaining — still to arrive

  • Check-in Rate — percentage checked in

Statistics update in real-time as you scan.

Undoing a check-in

Made a mistake? Reverse a check-in:

  • Click Manual Search

  • Find the attendee

  • Their status shows "Checked In"

  • Click Undo Check-in

  • Confirm the action

  • Status returns to "Registered"

Offline considerations

The scanner requires an internet connection to:

  • Verify tickets

  • Record check-ins

  • Sync across devices

Poor connectivity solutions

  • Use mobile data as backup

  • Set up a portable hotspot

  • Test connectivity before the event

  • Have manual check-in as fallback

Security features

The scanner includes protections:

  • One-time use — each ticket can only check in once

  • Event-specific — tickets only work for their event

  • Authentication — scanner requires login

  • Audit trail — all check-ins are logged

Troubleshooting

Camera not showing

  • Check browser permissions

  • Try refreshing the page

  • Close other apps using the camera

  • Restart the browser

Scans not registering

  • Verify internet connection

  • Move closer to the QR code

  • Ask attendee to increase screen brightness

  • Try manual search

Slow performance

  • Close unnecessary browser tabs

  • Restart the browser

  • Clear browser cache

  • Try a different device

Wrong camera selected

  • Look for camera switch option

  • Check browser settings

  • On mobile, ensure rear camera is active

Best practices

  • Test before the event — scan a test ticket the day before

  • Charge devices — ensure 100% battery to start

  • Bring chargers — for longer events

  • Brief your team — show helpers how to scan

  • Have backup — manual search always works

  • Stay calm — technology hiccups are normal
