Editing a Booking

Plans change, and Tourism Accelerator makes it easy to update booking details whenever needed. Whether a guest wants to add more people, change their contact details, or modify extras, you can handle it all in a few clicks.

Accessing a Booking to Edit

There are several ways to find and open a booking:

From the Calendar

  • Navigate to Calendar

  • Find the booking on your calendar view

  • Click the booking card to open details

  • Click Edit Booking

From the Bookings List

  • Navigate to Bookings from your main menu

  • Use search or filters to find the booking

  • Click on the booking to open details

  • Click Edit Booking

What You Can Edit

Guest Information

  • Guest name

  • Email address

  • Phone number

  • Any custom fields you've set up

Booking Details

  • Number of guests (adults, children, infants)

  • Selected add-ons and extras

  • Special requirements or dietary needs

  • Pickup location (if applicable)

Administrative Details

  • Internal notes for your team

  • Tags or categories

  • Assigned staff member

What Requires a Different Process

Some changes require specific actions rather than a simple edit:

Step-by-Step: Making Edits

  • Open the booking you want to modify

  • Click the Edit Booking button

  • Make your desired changes in the form

  • Review the updated details

  • Click Save Changes

If the Price Changes

When your edits affect the total price:

  • Price increase: You'll be prompted to collect the additional amount or send a payment request

  • Price decrease: You can process a partial refund or apply credit to the guest's account

Notifying the Guest

After making changes, you can choose to:

  • Send updated confirmation: Guest receives an email with new details

  • Don't notify: Changes are saved but no email is sent

Consider the nature of the change when deciding:

  • Always notify for significant changes (guest count, extras)

  • May skip notification for minor internal updates (notes, tags)

Keeping Track of Changes

Tourism Accelerator maintains a complete history of all booking modifications:

  • Open the booking details

  • Scroll to the Activity Log section

  • View a timeline of all changes, including:

- What was changed - When it was changed - Who made the change

This audit trail helps you and your team stay informed and resolve any questions about booking history.

Best Practices for Editing Bookings

  • Double-check guest count changes to ensure you have capacity

  • Update contact details promptly to ensure communications reach guests

  • Add notes when making changes to explain the reason

  • Verify pricing after making changes that affect the total

  • Communicate proactively with guests about any significant modifications

Common Editing Scenarios

Guest wants to add a person: Edit the booking, increase guest count, and process payment for the additional person. Guest provides a different email: Edit the booking with the correct email, then resend the confirmation. Adding dietary requirements: Edit the booking, add the information to notes or special requirements field, and notify relevant team members. Corporate booking needs a different contact: Update the primary contact details and save the changes.

Keeping your bookings accurate ensures smooth operations and happy guests.
