Exporting Client Data
Your client data belongs to you. Launchpad makes it easy to export your CRM records for reporting, backup purposes, or use in other business tools like mailing services or accounting software.
Why export client data?
Common reasons to export include:
Reporting — create custom reports in Excel or other tools
Backups — keep a local copy of your important data
Mail campaigns — use data in external email marketing platforms
Accounting — share client details with your accounting software
Data analysis — perform advanced analysis in spreadsheet tools
How to export clients
Go to CRM from the main menu
Select Clients from the hub menu
Click the Export button in the top right
Choose your export options (see below)
Click Download
Your browser will download a CSV file containing your client data.
Export options
Select which clients to export
All clients — export your entire client database
Filtered clients — export only clients matching your current filter
Selected clients — tick individual clients, then export selection
Choose which fields to include
Select the data columns you need:
Basic information
Business name
Email address
Phone number
Website
Location details
Street address
City/Town
State
Postcode
Country
Classification
Business type
Status (active, pending, archived)
Tags
Date added
Relationship data
Number of contacts
Last activity date
Total bookings
Notes
Export format
CSV — works with Excel, Google Sheets, and most software
Excel (.xlsx) — ready to open in Microsoft Excel
Exporting filtered data
You can export a subset of clients by applying filters first:
Go to Clients
Use the filter options to narrow your list
For example, filter by tag "Corporate" or status "Active"
Click Export
Select Export filtered results
This exports only the clients currently shown in your filtered view.
Exporting contacts
To export individual contact people (rather than client businesses):
Go to CRM
Select Contacts from the hub menu
Click Export
Choose your options and download
Contact exports include the associated client name for each person.
Scheduling regular exports
For automatic backups, you can schedule recurring exports:
Go to CRM
Click Settings (cog icon)
Select Scheduled Exports
Click Add Schedule
Choose frequency (weekly, monthly)
Select export options
Enter email address for delivery
Click Save
Exports will be emailed to you on your chosen schedule.
Data privacy considerations
When exporting client data:
Handle securely — exported files contain personal information
Limit sharing — only share with those who need access
Delete when done — remove files you no longer need
Check permissions — ensure you have authority to export and use data
Consider consent — respect how clients agreed to have their data used
Working with exported data
Opening in Excel
Double-click the downloaded CSV file
Excel opens it automatically
For special characters, use Data > From Text/CSV instead
Opening in Google Sheets
Go to Google Sheets
Click File > Import
Upload your CSV file
Select Replace spreadsheet or Insert new sheet
Using with mail platforms
Most email marketing platforms accept CSV imports:
Export clients with email addresses
Log into your email platform
Look for Import or Add Contacts
Upload your CSV file
Map the columns as prompted
Troubleshooting
Export button is greyed out
Check that you have permission to export data. Contact your organisation administrator if needed.
File won't open correctly
Try opening with File > Import in your spreadsheet application rather than double-clicking.
Special characters look wrong
Ensure your spreadsheet application is set to UTF-8 encoding when importing.
Regular exports keep your data backed up and give you flexibility to use your client information wherever you need it.
