Event Registration Settings

Registration settings control who can sign up for your event, when they can register, and what information you collect from them.

Basic registration settings

Capacity

Set the maximum number of attendees:

  • Open your event in Events Management

  • Click Edit Event

  • Set the Capacity field

  • Save changes

Tips:

  • Include buffer for no-shows (typically 10-15%)

  • Consider venue capacity limits

  • Leave room for VIP or late additions

Registration window

Control when people can register:

  • Registration Opens — when sign-ups begin

  • Registration Closes — deadline for registration

Common approaches:

  • Open registration 4-6 weeks before the event

  • Close registration 24-48 hours before (allows time for preparation)

  • Keep registration open until event start (for casual events)

Approval required

Toggle manual approval for registrations:

When to use:

  • Curated or invite-only events

  • Limited capacity with high demand

  • Events requiring attendee screening

How it works:

  • Someone registers

  • You receive a notification

  • Review the registration in Events Management

  • Approve or decline

  • Attendee receives confirmation (if approved)

  • Set Maximum Group Size

  • Choose what information to collect per attendee

Group information options

  • Names only — just collect names for each attendee

  • Full details — email and custom questions for each person

  • Primary contact only — one set of details for the whole group

Registration page settings

Event visibility

  • Public — appears in event listings, anyone can register

  • Unlisted — only accessible via direct link

  • Private — requires authentication to view

Branding

Your event registration page uses your organisation's branding:

  • Logo

  • Colours

  • Contact details

Configure these in your Event Profile.

Testing your registration

Before promoting your event:

  • Open your event's public page

  • Complete a test registration

  • Check the confirmation email

  • Verify your custom questions work

  • Test on mobile devices

  • Cancel the test registration when done

Tips for better registration

  • Keep it short — only ask essential questions

  • Explain why — help people understand why you need information

  • Test thoroughly — complete the registration yourself

  • Mobile-friendly — many people register on phones

  • Clear dates — show registration deadline prominently

A smooth registration experience encourages more sign-ups — make it easy for people to say yes to your event.
