Creating a Project

Projects help you organise related work, track progress, and collaborate with your team. Whether you're planning a new marketing campaign, preparing for an event, or managing ongoing operations, creating a project keeps everything in one place.

When to create a project

Consider creating a project when you have:

  • Multiple related tasks to complete

  • Work that spans several days or weeks

  • Activities that need team collaboration

  • Deliverables you want to track against a timeline or budget

How to create a project

Step 1: Navigate to Projects

  • Go to Projects from the main menu

  • Click the New Project button in the top right corner

Step 2: Enter project details

Fill in the basic information:

  • Project Name — choose a clear, descriptive name (e.g., "Winter Marketing Campaign" or "Website Refresh 2024")

  • Description — explain what the project aims to achieve

  • Status — select the current state:

- Planning — still in the preparation phase - Active — work is underway - On Hold — temporarily paused - Completed — all work finished

Step 3: Set priority and dates

  • Priority — indicate importance (Low, Medium, High, Urgent)

  • Start Date — when work begins

  • Due Date — target completion date

Step 4: Add budget (optional)

If you want to track costs:

  • Budget Amount — total budget in dollars

  • Billable Rate — hourly rate for time tracking

Step 5: Assign a project owner

Select the team member responsible for overseeing the project.

Step 6: Save your project

Click Create to save your new project. You'll be taken to the project detail page where you can start adding tasks and milestones.

Project settings to consider

Visibility

Choose who can see and access the project:

  • All team members — everyone in your organisation

  • Selected members — only those you invite

Client association

Link the project to a client from your CRM for easy reference and reporting.

Tags

Add tags to categorise projects (e.g., "Marketing", "Operations", "Seasonal").

What happens after creation

Once your project is created, you can:

  • Add tasks to break down the work

  • Set milestones for key deliverables

  • Invite team members to collaborate

  • Start tracking time against the project

  • Upload relevant documents

Tips for effective projects

  • Use clear names — make it obvious what the project is about

  • Write a good description — help team members understand the goals

  • Set realistic dates — build in buffer time for unexpected delays

  • Choose the right priority — not everything is urgent

  • Review regularly — update status as work progresses


A well-structured project sets you up for success — take a moment to plan before you dive in.
