Assigning Tasks

Assigning tasks to team members ensures everyone knows their responsibilities. Clear ownership means work gets done and nothing falls through the cracks.

Why assign tasks?

  • Accountability — someone is responsible for completion

  • Clarity — no confusion about who's doing what

  • Workload visibility — see how tasks are distributed

  • Notifications — assignees receive updates about their tasks

How to assign a task

When creating a task

  • Click Add Task in your project

  • Fill in the task details

  • In the Assignee field, select a team member

  • Click Save

For existing tasks

  • Open the task you want to assign

  • Click on the Assignee field

  • Select a team member from the dropdown

  • The change saves automatically

From the task list

  • Hover over the task in the list

  • Click the assignee icon (person silhouette)

  • Select the team member

  • Assignment updates immediately

Choosing the right assignee

Consider these factors when delegating:

Skills and expertise

Match tasks to team members with relevant experience:

  • Design tasks to someone with design skills

  • Technical tasks to your tech-savvy team members

  • Client-facing tasks to those with strong communication skills

Current workload

Check existing assignments before adding more:

  • Go to Tasks

  • Filter by assignee to see their current load

  • Balance work across the team

Availability

Consider time off, other projects, and priorities:

  • Check team calendars

  • Discuss capacity with team members

  • Adjust deadlines if needed

Development opportunities

Sometimes assign tasks to help team members grow:

  • Stretch assignments build new skills

  • Pair less experienced members with mentors

  • Provide support for first-time tasks

Assigning multiple tasks

Bulk assignment

To assign several tasks at once:

  • Go to your project's Tasks tab

  • Select multiple tasks using checkboxes

  • Click Bulk Actions

  • Choose Assign To

  • Select the team member

  • Confirm the changes

Reassigning tasks

If you need to move tasks to someone else:

  • Open the task

  • Click the current assignee

  • Select the new team member

  • Optionally add a comment explaining the change

What assignees see

When you assign a task, the team member:

  • Receives a notification (if enabled)

  • Sees the task in their personal task list

  • Can view the task in the project

  • Gets reminders as due dates approach

Self-assignment

Team members can take ownership of unassigned tasks:

  • Find an unassigned task

  • Click Assign to Me

  • The task is now their responsibility

This works well for collaborative teams where people pick up work as capacity allows.

Unassigning tasks

To remove an assignment:

  • Open the task

  • Click the assignee name

  • Select Unassigned or click the clear button

  • The task returns to the unassigned pool

Task assignment notifications

Assignees are notified when:

  • A new task is assigned to them

  • Task details change (due date, priority)

  • Someone comments on their task

  • The task is reassigned

Manage notification preferences in Settings.

Tips for effective delegation

  • Be clear about expectations — include details in the description

  • Set realistic deadlines — discuss timing with assignees

  • Check workloads first — don't overload team members

  • Follow up appropriately — offer support without micromanaging

  • Acknowledge good work — celebrate completed tasks


Great delegation empowers your team — assign clearly, support generously, and trust the process.
