Project Documents

Keep all your project files in one place. Attaching documents to projects makes it easy for your team to find what they need without searching through emails or folders.

Why attach documents to projects?

  • Central location — everything related to the project is together

  • Easy access — team members can find files quickly

  • Version clarity — everyone works from the same documents

  • Context — files are linked to the work they support

Types of files to attach

Consider including:

  • Briefs and specifications — project requirements

  • Contracts and agreements — signed documents

  • Design files — logos, images, mockups

  • Content drafts — copy, articles, scripts

  • Reports and data — research, analytics

  • Presentations — slides for clients or stakeholders

  • Meeting notes — records of discussions

  • Reference materials — guides, examples, inspiration

Uploading documents

From the project page

  • Go to Projects and open your project

  • Navigate to the Documents or Files tab

  • Click Upload or drag files into the area

  • Select files from your computer

  • Files upload automatically

Supported file types

Launchpad accepts common file formats:

  • Documents: PDF, DOC, DOCX, TXT

  • Spreadsheets: XLS, XLSX, CSV

  • Presentations: PPT, PPTX

  • Images: JPG, PNG, GIF, SVG

  • Design: AI, PSD (preview may be limited)

  • Other: ZIP, MP4, MP3

File size limits

  • Maximum file size: 50MB per file

  • For larger files, consider linking to cloud storage

Organising documents

Folders

Create folders to organise files:

  • Go to the Documents tab

  • Click New Folder

  • Name the folder (e.g., "Design Assets", "Client Approvals")

  • Drag files into folders

Naming conventions

Use clear, consistent names:

  • Include dates: "Brief_2024-01-15.pdf"

  • Add versions: "Logo_v2_Final.png"

  • Be descriptive: "Website_Homepage_Mockup.jpg"

Tags and labels

Add tags for easier searching:

  • Select a file

  • Click Add Tag

  • Enter relevant tags

  • Filter by tags later

Working with documents

Viewing files

Click a file to:

  • Preview supported formats

  • See file details

  • Download to your computer

Downloading files

To download:

  • Click the file

  • Click Download

  • Or click the download icon in the file list

Sharing files

Share a file with someone outside the project:

  • Click the file

  • Click Share or Get Link

  • Copy the shareable link

  • Send to the recipient

Note: Check sharing settings match your security requirements.

Updating files

To replace a file with a new version:

  • Upload the new file with the same name

  • Or click the existing file and select Replace

  • The old version may be kept in version history

Linking to external files

For files stored elsewhere:

Adding links

  • Go to the Documents tab

  • Click Add Link

  • Paste the URL to the file

  • Add a title and description

  • Save

Common sources

Link to files in:

  • Google Drive

  • Dropbox

  • OneDrive

  • SharePoint

  • Other cloud storage

Attaching files to tasks

Link documents to specific tasks:

  • Open the task

  • Go to the Attachments section

  • Click Add File or drag files

  • Files are linked to both task and project

This helps team members find the files they need for their work.

Document permissions

Control who can access files:

Project-level access

  • Team members on the project can view documents

  • Access follows project visibility settings

Individual file settings

For sensitive documents:

  • Select the file

  • Click Permissions or Sharing

  • Adjust who can view or download

Finding documents

Search

  • Use the search bar in the Documents tab

  • Search by file name or tag

  • Results show matching files

Filters

Filter documents by:

  • File type

  • Upload date

  • Uploader

  • Tags

Recent files

See recently accessed documents:

  • Shown at the top of the Documents tab

  • Quick access to current working files

Tips for document management

  • Upload early — add documents when you receive them

  • Organise as you go — don't let files pile up

  • Use clear names — make files easy to identify

  • Keep current versions — remove or archive outdated files

  • Link related files to tasks — connect files to the work


Organised documents save time and reduce confusion — keep your project files tidy and accessible.
