Providing Stakeholder Access

Your regional tourism program involves multiple stakeholders who need varying levels of access to information and reports. Tourism Accelerator allows you to provide appropriate access while maintaining security and control. Here's how to manage stakeholder access effectively.

Understanding Access Levels

Different stakeholders need different permissions:

View-Only Access

  • Can view dashboards and reports

  • Cannot make changes or edits

  • Suitable for council members, board observers

Reporting Access

  • View-only plus report generation

  • Can create and export reports

  • Suitable for executives needing data

Contributor Access

  • Can add and edit content

  • Cannot approve operators or change settings

  • Suitable for marketing team members

Manager Access

  • Full regional management capabilities

  • Can approve operators, manage settings

  • Suitable for tourism managers

Administrator Access

  • Complete access including user management

  • Can add and remove other users

  • Limited to senior administrators

Accessing User Management

  • Navigate to your regional dashboard at /regional

  • Click Settings in the left sidebar

  • Select Team & Access

  • View current users and their access levels

Adding a New Stakeholder

Inviting a User

  • Click Invite User

  • Enter their details:

- Email address - Full name - Organisation/role - Access level

  • Add a personal welcome message (optional)

  • Click Send Invitation

The stakeholder will receive an email with instructions to set up their account.

Setting Appropriate Access

Consider these factors when assigning access:

  • Role: What do they need to do?

  • Frequency: How often will they access the system?

  • Sensitivity: What data should they see?

  • Accountability: Who's responsible for their actions?

When in doubt, start with less access. You can always increase it later.

Managing Existing Users

Viewing User List

Your team list shows:

  • User name and email

  • Organisation/role

  • Access level

  • Last active date

  • Account status


Modifying Access

To change someone's access level:

  • Find the user in your list

  • Click on their entry

  • Select Edit Access

  • Choose the new access level

  • Click Save Changes

Notify the user of any changes to their access.

Removing Access

When someone no longer needs access:

  • Find the user in your list

  • Click on their entry

  • Select Remove Access

  • Confirm the removal

  • Their access is revoked immediately

Custom Permissions

For more granular control:

Creating Custom Roles

  • Go to Settings > Team & Access > Roles

  • Click Create Role

  • Name the role (e.g., "Marketing Viewer")

  • Select specific permissions:

- Dashboard views - Report access - Content sections - Operator information - Analytics data

  • Save the role

Applying Custom Roles

  • When inviting or editing a user

  • Select Custom Role as access level

  • Choose from your created roles

  • Save changes

Stakeholder Groups

Organise stakeholders for easier management:

Creating Groups

  • Go to Settings > Team & Access > Groups

  • Click Create Group

  • Name the group (e.g., "Council Representatives")

  • Add relevant users

  • Set group-wide permissions if desired

Using Groups

Groups help you:

  • Send communications to multiple stakeholders

  • Apply consistent access levels

  • Organise reporting distribution

  • Manage bulk permission changes


Security Best Practices

Account Security

  • Require strong passwords

  • Enable two-factor authentication when available

  • Encourage regular password updates

  • Review inactive accounts periodically

Access Reviews

Conduct regular access audits:

  • Go to Settings > Team & Access > Audit

  • Review all current access

  • Identify users who no longer need access

  • Check for appropriate access levels

  • Document your review

Activity Monitoring

Track what stakeholders do:

  • Go to Settings > Activity Log

  • View actions by user

  • Monitor for unusual activity

  • Export logs for records

Council Representatives

Typically need:

  • View-only access to dashboards

  • Visibility of operator counts and activity

Usually require:

Supporting Your Stakeholders

Onboarding

When adding new stakeholders:

  • Send a welcome message explaining what they can access

  • Provide a brief orientation or guide

  • Offer to walk them through the system

  • Share relevant documentation

Ongoing Support

Keep stakeholders engaged:

  • Send regular updates on what's new

  • Notify of relevant new features

  • Respond promptly to questions

  • Gather feedback on their needs
