Sales Reporting

Understanding your sales performance is crucial for running a successful tourism business. Tourism Accelerator provides comprehensive reports that give you clear insights into your revenue, trends, and opportunities.

Accessing Sales Reports

  • Navigate to Sales in the main menu

  • Click Reports or go to Reports > Sales

  • Choose the report type you need

Daily Sales Summary

Your go-to report for daily performance:

What It Shows

  • Total revenue for the day

  • Number of transactions

  • Average transaction value

  • Breakdown by payment method (cash, card, vouchers)

  • Comparison to the same day last week/year

How to Access

  • Go to Reports > Daily Summary

  • Select the date (defaults to today)

  • View the summary dashboard

Key Metrics Explained

  • Gross Sales: Total value before any refunds

  • Refunds: Value of refunds processed

  • Net Sales: Gross sales minus refunds

  • GST Collected: Tax component of sales

Sales by Product

Understand what's selling:

  • Go to Reports > Sales by Product

  • Select date range

  • View breakdown showing:

- Each experience/product - Units sold - Total revenue - Percentage of total sales Use this to:

  • Identify your best sellers

  • Spot underperforming experiences

  • Plan inventory and staffing

  • Make pricing decisions

Sales by Date Range

Analyse trends over time:

  • Go to Reports > Sales Report

  • Set your date range:

- Today - Yesterday - This week - This month - Custom range

  • View totals and daily breakdown

  • Download as CSV or PDF for further analysis

Sales by Staff Member

Track individual performance:

  • Go to Reports > Sales by Staff

  • Select date range

  • View sales processed by each team member

  • Useful for:

- Performance reviews - Commission calculations - Training identification

Payment Method Report

Understand how customers pay:

  • Go to Reports > Payment Methods

  • View breakdown:

- Cash transactions - Card transactions (by card type) - Gift vouchers redeemed - Invoice payments - Online payments Use this for:

  • Cash handling review

  • Payment processor fee analysis

  • Reconciliation assistance

Discount Report

Track discounting activity:

  • Go to Reports > Discounts

  • View:

- Total discount value given - Breakdown by discount type - Promotional codes used - Staff manual discounts Monitor this to:

  • Measure promotion effectiveness

  • Identify excessive discounting

  • Plan future promotions

Outstanding Invoices Report

Track money owed to you:

  • Go to Reports > Outstanding Invoices

  • View:

- Total unpaid invoice value - Ageing breakdown (current, 30 days, 60 days, 90+ days) - Individual invoice details - Customer contact information Take action:

  • Send reminders to overdue accounts

  • Prioritise follow-up on largest amounts

  • Identify customers with payment issues

Revenue Comparison

Compare periods to spot trends:

  • Go to Reports > Comparison

  • Select comparison type:

- This month vs last month - This year vs last year - Custom comparison

  • View:

- Percentage change - Visual graphs - Day-by-day comparison

Exporting Reports

Download reports for further analysis or record-keeping:

  • Open any report

  • Click Export

  • Choose format:

- CSV: For spreadsheet analysis - PDF: For sharing or printing - Excel: For detailed manipulation

  • File downloads to your device

Scheduled Reports

Receive reports automatically:

  • Go to Settings > Report Scheduling

  • Click Add Scheduled Report

  • Configure:

- Report type - Frequency (daily, weekly, monthly) - Recipients (email addresses) - Time of delivery

  • Click Save

Popular schedules:

  • Daily sales summary every morning

  • Weekly revenue comparison every Monday

  • Monthly tax summary on the 1st

Dashboard Widgets

Add report widgets to your dashboard:

  • Go to Dashboard

  • Click Customise

  • Add sales widgets:

- Today's revenue - Sales chart - Top products - Outstanding invoices

  • Arrange to your preference

  • Click Save

Key Performance Indicators

  • Average Transaction Value (ATV): Total revenue / Number of transactions

  • Revenue Per Available Tour: Revenue / Number of tours run

  • Conversion Rate: Bookings / Enquiries (if tracked)

  • Repeat Customer Rate: Return customers / Total customers

Healthy Trends to Watch

  • Consistent or growing daily averages

  • Strong weekend performance (for most tourism businesses)

  • Seasonal peaks aligning with expectations

  • Gift voucher sales before major holidays

Warning Signs

  • Declining average transaction values

  • Increasing refund rates

  • Growing overdue invoice totals

  • Heavy reliance on discounting

  • Review daily: Spend 5 minutes each morning on yesterday's summary

  • Compare periods: Always context your numbers against previous periods
