Deactivating Team Members

Sometimes you need to temporarily suspend a team member's access without permanently removing them. Deactivation is perfect for leave, investigations, or seasonal breaks.

What happens when you deactivate

When a team member is deactivated:

  • They cannot sign in — immediate access revocation

  • Their data is preserved — bookings, notes, and history remain

  • They disappear from active lists — no longer appear in booking assignments

  • They keep their profile — ready to reactivate when needed

  • They're not billed — deactivated members don't count toward your team limit

How to deactivate a team member

  • Find the team member in the list

  • Click on their row to open their profile

  • Click the three dots menu

  • Select Deactivate Account

  • Choose a reason (optional but recommended):

- Extended leave - Seasonal break - Pending investigation - Other (with notes)

  • Click Deactivate

The member is immediately deactivated.

Notifying the team member

Launchpad does not automatically notify deactivated members. Consider:

  • Inform them personally before deactivating (for planned leave)

  • Use HR processes for sensitive situations

  • Document the reason in their profile notes

Viewing deactivated members

Deactivated members don't show in the default team list. To see them:

  • Click the Status filter

  • Select Deactivated

  • All deactivated members are now visible

Reactivating a team member

When someone returns from leave or is cleared to work:

  • Filter by Deactivated status

  • Find the team member

  • Click on their profile

  • Click Reactivate Account

  • Confirm by clicking Reactivate

They can immediately sign in with their existing credentials.

After reactivation

When someone is reactivated:

  • They use their existing email and password

  • Their role and permissions are restored

  • They can see their historical bookings and data

  • They may need to refresh their browser or sign in again

Bulk deactivation

For seasonal operations with multiple seasonal staff:

  • Select the checkbox next to each person to deactivate

  • Click Bulk Actions

  • Select Deactivate Selected

  • Choose a reason

  • Click Deactivate All

All selected members are deactivated at once.

Deactivation and bookings

When you deactivate someone:

Future bookings assigned to them

  • A warning appears showing upcoming bookings

  • You can reassign these before deactivating

  • Or deactivate and reassign later

Past bookings

  • Historical records remain unchanged

  • Reports still show their name

  • Data integrity is preserved

Deactivation and billing

Deactivated members:

  • Don't count toward your team size limit

  • Free up seats for new invitations

  • Can be reactivated without using a new seat

Check your subscription for current team limits.

Security considerations

Deactivation is an immediate security measure:

  • Access revoked instantly — no waiting period

  • Active sessions ended — they're signed out everywhere

  • API access disabled — any integrations stop working

  • Password unchanged — ready for reactivation

For security concerns, consider also:

  • Reviewing their recent activity in the activity log

  • Changing any shared passwords they may have known

  • Revoking access to any external systems

Common questions

Can deactivated members see their data?

No. They cannot sign in at all, so they cannot access any data.

What if I deactivate the wrong person?

Simply reactivate them immediately. There's no penalty or delay.

Can I deactivate an Admin?

Yes, Owners can deactivate Admins. Admins can deactivate Managers and Staff.

Can I deactivate the Owner?

No. The Owner cannot be deactivated. If the Owner is leaving, transfer ownership first.

Do deactivated members receive notifications?

No. All email notifications stop immediately upon deactivation.

Record keeping

When you deactivate someone, Launchpad records:

  • Who performed the deactivation

  • When it occurred

  • The reason selected (if provided)

  • Any notes added

View this in the team activity log.


Deactivation keeps your team current while preserving everything for when they return.
