Removing a Trade Partner

When a trade partnership has permanently ended, you can remove the partner from your active list. This archives the relationship while preserving historical records.

Before you remove a partner

Consider whether you should:

  • Suspend instead — if the situation might be temporary

  • Resolve issues — if there's a dispute that could be fixed

  • Complete outstanding matters — ensure all bookings and commissions are settled

How to remove a trade partner

  • Go to Trade from the main menu

  • Select Partners from the hub menu

  • Find the partner you want to remove

  • Click on their name to open their profile

  • Click More Actions (three dots)

  • Select Remove Partner

  • Confirm the reason for removal

  • Choose notification options

  • Click Confirm Removal

Removal checklist

Before removing, ensure:

Bookings

☐ All pending bookings are confirmed or cancelled

☐ Upcoming bookings are transferred or handled

☐ Customers have been notified if needed

Finances

☐ All commissions have been paid

☐ Outstanding invoices are settled

☐ Payment records are complete

Contracts

☐ Contract has been formally terminated

☐ Termination notice period has been observed

☐ Both parties have acknowledged the end

Access

☐ Partner portal access will be revoked

☐ Any shared login credentials are noted

☐ Resources have been unshared

What happens when you remove

Immediate effects

  • Partner is moved to Archived status

  • Portal access is permanently revoked

  • Rate sheets are no longer visible to them

  • They cannot make new bookings

What's preserved

  • All historical data remains:

- Booking history - Commission records - Contract documents - Communication logs - Performance reports

You can still access this data for reporting and reference.

Notifying the partner

Choose whether to send a notification:

Send notification

An email is sent explaining:

  • The partnership has ended

  • Portal access has been revoked

  • Contact details for any final matters

No notification

Remove silently — useful if you've already communicated separately or the business has closed.

Viewing archived partners

Access removed partners anytime:

  • Click the Status filter

  • Select Archived

  • View all removed partners

Restoring a removed partner

If you want to work together again:

  • Filter by Archived

  • Find the partner

  • Click on their name

  • Click Restore Partner

  • Update their details as needed

  • Set status to Active

  • Click Save

Their historical data is preserved and they can resume working with you.

Handling final matters

Outstanding commissions

  • Go to the partner's profile

  • Check the Commissions tab

  • Pay any outstanding amounts

  • Mark commissions as Paid

Existing bookings

For bookings already made:

  • Confirm them — honour commitments

  • Reassign them — transfer to direct bookings

  • Cancel them — with appropriate notice

Contract termination

  • Open the partner's contract

  • Click Terminate Contract

  • Enter termination date

  • Add termination notes

  • Click Confirm

Professional communication

When ending a partnership, be professional:

"Dear [Partner Name],

Thank you for our partnership over the past [time period]. We've valued working with you and appreciate the business we've done together.

As discussed, we're formally concluding our trade partnership effective [date]. Your portal access has been deactivated, but we remain available to finalise any outstanding matters.

Please contact us at [email/phone] if you have any questions.

We wish you continued success in your business."

Tips for ending partnerships well

  • Give notice — don't end abruptly if possible

  • Settle accounts — pay what's owed promptly

  • Communicate clearly — explain the situation

  • Be professional — you may cross paths again

  • Document everything — keep records of the conclusion


Ending partnerships professionally protects your reputation and keeps doors open for the future.
