Connecting Google Calendar

Keep your schedule in sync by connecting Launchpad to Google Calendar. When bookings are created, modified, or cancelled, your Google Calendar updates automatically — and availability changes in Google Calendar can block times in Launchpad.

Why sync with Google Calendar?

Connecting Google Calendar gives you:

  • One calendar view — see Launchpad bookings alongside personal appointments

  • Mobile access — check your schedule from any device

  • Avoid double-bookings — personal commitments block availability

  • Team visibility — share calendars with staff and contractors

  • Automatic updates — changes sync in both directions

Before you start

You'll need:

  • A Google account (Gmail or Google Workspace)

  • Owner or admin access in Launchpad

  • A few minutes to complete the connection

Connecting your Google Calendar

  • Go to Settings from the main menu

  • Click Integrations

  • Find Google Calendar in the Calendar section

  • Click Connect with Google

  • Select your Google account (or sign in if prompted)

  • Review the permissions Launchpad needs:

- View and edit events on your calendars - See your calendar list

  • Click Allow to grant access

  • You'll be redirected back to Launchpad

A green "Connected" badge confirms the integration is active.

Choosing which calendar to sync

After connecting, select the calendar for Launchpad bookings:

  • In the Google Calendar integration settings, click Configure

  • Choose from your available calendars:

- Use an existing calendar - Create a new "Launchpad Bookings" calendar (recommended)

  • Click Save

We recommend using a dedicated calendar for Launchpad bookings to keep things organised.

Understanding sync behaviour

What syncs to Google Calendar

When bookings are created in Launchpad:

  • Event title — customer name and product booked

  • Date and time — booking start and end times

  • Location — if set for the product

  • Description — booking reference and key details

What syncs from Google Calendar

Events in your connected Google Calendar can block availability:

  • Busy events — mark those times as unavailable in Launchpad

  • All-day events — can block the entire day if configured

Sync timing

  • Changes sync within a few minutes

  • Initial sync may take longer for calendars with many events

  • Manual sync available if needed

Configuring sync settings

Customise how the sync works:

Two-way vs one-way sync

  • Go to the Google Calendar integration settings

  • Choose your sync direction:

- Two-way — bookings flow both directions - One-way (to Google) — only push Launchpad bookings to Google - One-way (from Google) — only pull Google events to block availability

Blocking personal time

To prevent bookings during personal appointments:

  • Ensure two-way sync is enabled

  • Mark events in Google Calendar as "Busy" (not "Free")

  • These times will show as unavailable in Launchpad

Event visibility

Control what appears on your Google Calendar:

  • Full details — customer names and booking info

  • Busy only — shows time as blocked without details

This is useful for shared team calendars where privacy matters.

Managing multiple calendars

If you have multiple staff or resources:

  • Each team member can connect their own Google Calendar

  • Use separate calendars for different products or locations

  • Configure each calendar's sync settings individually

Troubleshooting

Calendar not syncing

  • Check the integration is still connected in Settings > Integrations

  • Verify you selected the correct calendar

  • Wait a few minutes — sync isn't instant

  • Try disconnecting and reconnecting

Wrong calendar showing

  • Go to the integration settings

  • Click Configure

  • Select the correct calendar

  • Save your changes

Events not blocking availability

  • Ensure the Google Calendar event is marked as "Busy"

  • Check two-way sync is enabled

  • Verify the event is on the connected calendar

Duplicate events

  • Check you haven't created events in both systems

  • Review sync direction settings

  • Remove duplicate events manually

Permission errors

  • Disconnect the integration

  • Reconnect and ensure you click "Allow" for all permissions

  • Check your Google account security settings

Best practices

  • Use a dedicated calendar — create a "Launchpad Bookings" calendar

  • Set sync direction thoughtfully — two-way sync is powerful but needs care

  • Mark personal time correctly — use "Busy" status for time off

  • Check regularly — review your calendar to catch any sync issues early

  • Train your team — ensure everyone understands how the sync works

Disconnecting Google Calendar

If you need to remove the connection:

Existing events remain in both systems but will no longer sync.

You can also revoke access from your Google Account settings.
