Zapier Integration

Zapier connects Launchpad to over 5,000 other apps, allowing you to automate workflows without any coding. When something happens in Launchpad (like a new booking), Zapier can automatically trigger actions in other apps (like sending an SMS or adding to a spreadsheet).

What is Zapier?

Zapier is an automation platform that:

  • Connects apps — link Launchpad to tools you already use

  • Automates workflows — set up "if this, then that" rules

  • Saves time — eliminate repetitive manual tasks

  • Requires no coding — build automations with a visual interface

Each automation is called a "Zap" — a connection between two or more apps.

Why use Zapier with Launchpad?

Zapier extends Launchpad's capabilities:

  • Custom notifications — SMS alerts, Slack messages, team updates

  • Data backup — copy booking data to Google Sheets or Airtable

  • CRM sync — update Salesforce, HubSpot, or other CRMs

  • Task creation — add to-dos in Trello, Asana, or Monday.com

  • Custom integrations — connect apps Launchpad doesn't integrate with directly

Before you start

You'll need:

  • A Zapier account (free plans available)

  • Owner or admin access in Launchpad

  • Ideas for what you want to automate

Connecting Launchpad to Zapier

  • Go to Settings from the main menu

  • Click Integrations

  • Find Zapier in the Automation section

  • Click Connect to Zapier

  • Copy your Launchpad API key (you'll need this in Zapier)

  • Click the link to open Zapier

  • In Zapier, search for "Launchpad" and add it as a connected app

  • Paste your API key when prompted

  • Authorise the connection

Understanding Zaps

Each Zap has:

  • Trigger — the event that starts the automation

  • Action — what happens when the trigger fires

Example Zap

Trigger: New booking in Launchpad Action: Send SMS via Twilio

When someone books, they automatically receive a text message confirmation.

Available Launchpad triggers

Events in Launchpad that can start a Zap:

Booking triggers

  • New Booking — when a booking is created

  • Booking Updated — when booking details change

  • Booking Cancelled — when a booking is cancelled

  • Booking Completed — when the experience has occurred

Customer triggers

  • New Customer — when a new customer record is created

  • Customer Updated — when customer information changes

Payment triggers

  • Payment Received — when a payment is processed

  • Refund Issued — when a refund is completed

Troubleshooting

Zap not triggering

  • Check your Zap is turned on

  • Verify the Launchpad connection is active

  • Test the trigger manually in Zapier

  • Check if the event actually occurred in Launchpad

Wrong data being sent

  • Review your field mapping in Zapier

  • Check you're using the correct Launchpad fields

  • Test with fresh sample data

  • Update mappings if Launchpad fields have changed

Connection errors

  • Reconnect Launchpad in Zapier

  • Generate a new API key if needed

  • Check your Launchpad subscription is active

  • Verify API access is enabled

Action not completing

  • Check the connected app is working

  • Verify your account permissions

  • Review error messages in Zapier

  • Test the action app independently

Best practices

  • Start simple — build basic Zaps before complex ones

  • Test thoroughly — use test mode before going live

  • Name clearly — use descriptive Zap names

  • Monitor regularly — check your Zap history for errors

  • Document your Zaps — keep notes on what each does
