Viewing Participant Progress

Track how your participants are progressing through programs so you can offer support where needed and celebrate successes.

Accessing progress data

Program-level view

  • Go to Programs > Manage Programs

  • Select your program

  • Click the Participants tab

  • View the progress overview

Intake-level view

For cohort-based programs:

  • Select your program

  • Click the Intakes tab

  • Choose the intake

  • Click Participants

Understanding the progress dashboard

Overview metrics

At a glance, see:

  • Total enrolled — number of participants

  • Active — engaged in the last 7 days

  • Completed — finished the program

  • At risk — no activity in 14+ days

  • Average progress — overall completion percentage

Progress chart

Visual breakdown showing:

  • Not started (0%)

  • In progress (1-99%)

  • Completed (100%)


Engagement trends

Track activity over time:

  • Daily/weekly logins

  • Lessons completed

  • Assessment submissions

  • Time spent learning


Individual participant progress

Finding a participant

  • Use the search bar to find by name or email

  • Or filter the list by:

- Progress (percentage ranges) - Last active (date ranges) - Completion status - Organisation

Participant detail view

Click a participant to see:

Progress summary

  • Overall completion percentage

  • Courses completed / total

  • Time spent in program

  • Days since enrolment

Course breakdown Each course shows:

  • Status (not started, in progress, completed)

  • Lessons completed

  • Assessment scores

  • Time spent

Activity timeline Recent actions:

  • Lessons viewed

  • Assessments submitted

  • Resources downloaded

  • Certificates earned

Notes Add private notes about this participant (e.g., "Needs extra support with Module 3").

Taking action

For inactive participants:

  • Send a personalised check-in email

  • Offer a phone call to discuss barriers

  • Extend deadlines if appropriate

For struggling participants:

  • Identify where they're stuck

  • Offer additional resources

  • Connect them with peer support

  • Consider alternative assessments

Exporting progress data

Quick export

  • Click Export on the participants list

  • Choose format (CSV or Excel)

  • Download the file

Export includes:

  • Participant name and email

  • Organisation

  • Enrolment date

  • Progress percentage

  • Completion status

  • Last activity date

Detailed reports

For comprehensive data:

  • Go to Reports > Program Reports

  • Select your program

  • Choose Participant Progress Report

  • Set date range and filters

  • Generate and download

Progress notifications

Automated alerts

Set up notifications for:

  • Participants who haven't started after X days

  • Participants with no activity for X days

  • Participants who complete the program

  • Participants who fail assessments

Configuring alerts

  • Go to Program Settings > Notifications

  • Enable the alerts you want

  • Set thresholds (e.g., 7 days inactive)

  • Choose delivery method (email, in-app)

Bulk actions

Send message to group

  • Filter participants (e.g., "In progress")

  • Select all or choose specific participants

  • Click Send Message

  • Write and send your message

Update multiple participants

  • Select participants

  • Click Bulk Actions

  • Choose action:

- Extend deadline - Move to different intake - Mark as complete - Send reminder


Regular progress monitoring helps you catch issues early and support participants to success.
