Updating Program Content

Programs evolve. Here's how to update content safely while participants are mid-program.

When to update content

Good reasons to update

  • Fixing errors or typos

  • Adding clarification based on questions

  • Updating outdated information

  • Improving based on feedback

  • Adding new resources

Consider carefully

  • Major structural changes

  • Removing content participants have started

  • Changing assessment criteria

  • Altering completion requirements

Making content updates

Editing lessons

  • Go to your program > Courses

  • Select the course

  • Click the lesson to edit

  • Make your changes

  • Click Save

Changes are live immediately for new viewers.

Safe update practices

Minor updates (low risk)

These are generally safe to make anytime:

  • Fixing typos and grammar

  • Clarifying confusing sentences

  • Adding helpful tips

  • Updating links

  • Adding supplementary resources


Moderate updates (communicate)

Consider notifying participants:

  • Adding new lessons

  • Updating significant content

  • Changing resource documents

  • Adding new examples


How to communicate:

  • Use the announcement feature

  • Explain what changed and why

  • Note if they need to revisit content


Major updates (plan carefully)

For significant changes:

  • Changing assessment questions

  • Restructuring courses

  • Removing content

  • Changing completion requirements


Best approach:

  • Apply to new intakes only

  • Keep current intake on existing version

  • Or extend deadlines and notify participants


Versioning your program

Creating a new version

For major overhauls:

  • Go to Program Settings

  • Click Create New Version

  • Make your changes to the new version

  • Keep the old version for current participants

  • New enrolments go to the new version

Managing multiple versions

  • Track which intake uses which version

  • Plan migration path for ongoing participants

  • Archive old versions when no longer needed

Updating assessments

Changing quiz questions

Adding questions: Safe to do — participants who completed won't be affected. Removing questions: May affect incomplete attempts — consider carefully. Changing correct answers: Avoid if anyone has already attempted. If necessary:

  • Review affected submissions

  • Update grades manually if needed

  • Communicate with affected participants

Changing passing scores

If you lower the passing score:

  • Previously failed attempts may now pass

  • Run a grade recalculation if needed


If you raise the passing score:

  • Don't apply retroactively

  • Apply to new attempts only


Handling feedback

Common feedback scenarios

"This section is confusing"

  • Note specific feedback

  • Review the content objectively

  • Add clarification or examples

  • Consider a video explanation

"This is outdated"

  • Verify the accuracy issue

  • Update with current information

  • Add a "last updated" note

  • Thank the participant

"This assessment is too hard"

  • Review pass rates

  • Check if content adequately prepares

  • Consider adding practice questions

  • Adjust difficulty if warranted

Tracking changes

Keep a changelog:

  • Date of change

  • What was changed

  • Why

  • Who approved


This helps with auditing and future reference.
