Archiving a Product

When a product is no longer available, archiving removes it from active listings while keeping all the information for your records. This is better than deleting because you maintain your history.

When to archive

Consider archiving when:

  • A seasonal product has ended for the year

  • You've discontinued a product permanently

  • You're replacing a product with an updated version

  • A product is temporarily unavailable for an extended period

  • You need to clean up your product list

Archive vs. Inactive vs. Delete

Inactive is best for temporary pauses β€” you plan to bring it back soon. Archived is best for products you don't expect to offer again, but want to keep records of. Delete permanently removes everything β€” use with caution.

How to archive a product

  • Go to Products from the main menu

  • Click on the product you want to archive

  • Click Edit to enter edit mode

  • Change the Status to "Archived" or "Inactive"

  • Click Save

Alternatively, from the products list:

  • Find the product in your list

  • Click the more options menu (three dots)

  • Select Archive or Set Inactive

  • Confirm your choice

What happens when you archive

When a product is archived:

  • It disappears from your active products list

  • Customers can no longer see or book it

  • Past bookings remain in your records

  • Associated rates and images are preserved

  • Analytics history is retained

Viewing archived products

To see your archived products:

  • Go to Products

  • Click the filter option

  • Select Archived or All products

  • Browse your archived items

Restoring an archived product

Changed your mind? Restoring is easy:

  • Find the archived product (use filters if needed)

  • Click on the product

  • Click Edit

  • Change the Status back to "Active"

  • Review all details are still current

  • Update pricing if needed

  • Click Save

Before restoring, check:

  • Pricing is still accurate

  • Description reflects current offering

  • Photos are up to date

  • Availability settings are correct

Best practices

Before archiving

  • Check for future bookings

  • Communicate with affected customers if needed

  • Consider if "Inactive" is more appropriate

  • Export any data you might need

Organising archived products

  • Use consistent naming to identify archived items

  • Add notes about why products were archived

  • Review archived products periodically

  • Delete truly obsolete items after appropriate time

Seasonal archiving

For seasonal products:

  • Archive at end of season

  • Set a reminder to restore before next season

  • Update pricing before reactivating

  • Refresh photos and descriptions

Archiving packages

If you archive a product that's part of a package:

  • The package may become incomplete

  • Review affected packages before archiving

  • Consider archiving related packages too

Archiving keeps your product list clean while preserving valuable historical data.
