Project Collaboration

Great projects are a team effort. Launchpad makes it easy to collaborate with colleagues, share updates, and work together effectively — even when you're not in the same place.

Adding team members to projects

Invite team members

  • Go to Projects and open your project

  • Click Team or Members

  • Click Add Member

  • Search for or select team members

  • Choose their role:

- Owner — full control over the project - Member — can view and contribute - Viewer — read-only access

  • Click Add

Bulk invitations

Add multiple people at once:

  • Click Add Members

  • Select multiple team members

  • Set their role

  • Click Add All

Project roles

Owner

Full project control:

  • Edit project details and settings

  • Manage team membership

  • Delete the project

  • All member permissions

Member

Active contributor:

  • View all project information

  • Create and complete tasks

  • Log time

  • Upload documents

  • Post updates and comments

Viewer

Read-only access:

  • View project details

  • See tasks and milestones

  • Read updates and comments

  • Cannot make changes

Communicating on projects

Project updates

Share progress with the team:

  • Open the project

  • Go to Updates or Activity

  • Click Add Update

  • Write your message

  • Click Post

All team members can see updates in the project activity feed.

Task comments

Discuss specific tasks:

  • Open the task

  • Scroll to Comments

  • Write your comment

  • Click Post

Comments keep discussions connected to the relevant work.

@mentions

Get someone's attention:

  • In a comment or update, type @

  • Start typing their name

  • Select the person from the list

  • They'll receive a notification

Example: "@Sarah, can you review this when you have a chance?"

Notifications

Stay informed about project activity:

What triggers notifications

  • You're assigned a task

  • Someone comments on your task

  • You're @mentioned

  • Task due dates approaching

  • Project status changes

Managing notifications

Control what you receive:

  • Go to Settings

  • Find Project Notifications

  • Toggle notification types on/off

  • Set email vs in-app preferences

Following projects

Watch a project you're interested in:

  • Open the project

  • Click Follow or Watch

  • Receive updates even if not assigned tasks

Real-time collaboration

Activity feed

See what's happening:

  • Live updates as team members work

  • Recent activity at a glance

  • Filter by activity type

Who's working on what

View team activity:

  • Open the project

  • Check the Team tab

  • See assigned tasks per person

  • View their recent activity

Sharing with external collaborators

Guest access

Invite people outside your organisation:

  • Go to project Team

  • Click Invite Guest

  • Enter their email address

  • Set their permissions

  • Send invitation

Guests can collaborate with limited access.

Client access

For client-facing projects:

  • Create a client portal view

  • Share selected updates

  • Protect sensitive internal discussions

Working across time zones

When your team is distributed:

Asynchronous collaboration

  • Write detailed task descriptions

  • Use comments for discussions

  • Post updates others can read later

  • Don't expect instant responses

Clear communication

  • Be explicit about deadlines (include timezone)

  • Summarise decisions in writing

  • Keep documentation up to date

  • Over-communicate rather than under-communicate

Set expectations

At project kickoff:

  • Define team roles and responsibilities

  • Agree on communication channels

  • Establish response time expectations

  • Clarify decision-making process

Keep everyone informed

Throughout the project:

  • Post regular updates

  • Tag people who need to know

  • Document important decisions

  • Celebrate achievements together

Resolve conflicts

When issues arise:

  • Address concerns promptly

  • Use direct communication
