Completing Tasks

There's nothing quite like ticking off a completed task. Marking tasks as done tracks your progress, updates your project status, and lets everyone know the work is finished.

How to complete a task

From the task list

The quickest way:

  • Find the task in your project or Tasks

  • Click the checkbox next to the task

  • The task is marked complete instantly

From the task detail

For more control:

  • Open the task

  • Click Mark Complete or the complete button

  • Optionally add a completion note

  • The task status changes to complete

Using keyboard shortcuts

Completing tasks with subtasks

When a task has subtasks:

Complete subtasks individually

  • Mark each subtask complete as you finish it

  • Parent task shows progress (e.g., "3 of 5 complete")

  • Complete the parent task when all subtasks are done

Complete parent task

If you complete the parent:

  • Option to mark all subtasks complete

  • Or leave subtasks as incomplete

  • Choose based on your situation

Undoing completion

Made a mistake? Easy to fix:

  • Find the completed task

  • Click the checkbox again to uncheck

  • Or open the task and click Reopen

  • Task returns to active status

Adding completion notes

Document what was done:

  • Open the task

  • Add a comment before completing

  • Note any relevant details:

- What was delivered - Where files are located - Any follow-up needed

  • Then mark complete

This creates a record of the completed work.

  • Go to your project's Tasks tab

  • Select multiple tasks using checkboxes

  • Click Bulk Actions

  • Choose Mark Complete

  • Confirm to complete all selected tasks

Best practices for completion

Before marking complete

Verify the work is truly done:

  • All requirements met?

  • Quality checked?

  • Any approvals needed?

  • Documentation updated?

Add context

Help future reference:

  • Note any deviations from plan

  • Link to deliverables

  • Mention follow-up items

Timely completion

Don't let completed work sit unmarked:

  • Complete tasks as you finish

  • Don't batch completions

  • Keep project status accurate

Handling incomplete tasks

Sometimes work can't be finished:

Can't complete as planned

  • Add a comment explaining why

  • Either:

- Update the task scope and complete - Close as won't complete - Reassign to someone else

  • Document the decision

Blocked tasks

If something's blocking completion:

  • Add a comment about the blocker

  • Tag relevant people

  • Consider creating a new task for the blocker

  • Update when resolved

Cancelled tasks

If a task is no longer needed:

  • Open the task

  • Change status to Cancelled (if available)

  • Or add a note and close it

  • Keep for project records

Impact on project progress

Completing tasks drives project health:

Completion percentage

  • Each completed task increases overall progress

  • Visible on project dashboard

  • Helps track toward milestones

Team velocity

Over time:

  • See how quickly tasks are completed

  • Identify patterns and bottlenecks

  • Improve estimation accuracy

Reporting

Completed tasks feed into:

  • Project status reports

  • Team productivity metrics

  • Client updates

Tips for task completion

  • Complete promptly — tick off work as you finish

  • Be thorough — ensure work truly meets requirements

  • Add notes — document what was done

  • Review regularly — don't let completed tasks go unmarked

  • Celebrate progress — acknowledge finished work

Every completed task is progress — tick them off and watch your project come together.
