Managing Regional Events

Events are a powerful drawcard for regional tourism. From annual festivals to weekly markets, Tourism Accelerator helps you showcase what's happening in your region. Here's how to effectively manage events that attract visitors and support your operators.

Accessing Event Management

  • Navigate to your regional dashboard at /regional

  • Click Events in the left sidebar

  • You'll see a calendar view of all events in your region

Creating a New Event

Basic Event Details

  • Click Add Event in the top right corner

  • Enter the essential information:

- Event Name: Clear, descriptive title - Event Type: Festival, market, exhibition, sporting event, etc. - Date and Time: Start and end dates/times - Location: Venue name and address - Description: Compelling overview of what visitors can expect

Adding Rich Content

Make your event stand out:

  • Upload a Feature Image (recommended size: 1200x630 pixels)

  • Add a Gallery of additional images

  • Include Video links if available

  • Write Detailed Information covering:

- What's included - Who should attend - What to bring - Accessibility information

Ticketing and Pricing

If the event requires tickets:

  • Toggle Ticketed Event to yes

  • Add ticket types and prices

  • Include a link to the ticketing platform

  • Note any booking requirements or deadlines

Linking Operators

Connect related operators to your event:

  • Scroll to Associated Operators

  • Search for and select relevant businesses

  • These might include:

- Event sponsors or partners - Nearby accommodation - Food vendors participating - Transport providers

This creates valuable cross-promotion for everyone involved.

Managing Recurring Events

For events that happen regularly:

  • When creating the event, select Recurring Event

  • Choose the frequency:

- Weekly (e.g., Sunday markets) - Monthly (e.g., first Saturday art walk) - Annually (e.g., yearly festival)

  • Set the recurrence pattern and end date

  • The system will create individual instances automatically

Event Visibility and Promotion

Publishing Your Event

  • Review all event details

  • Click Preview to see how it will appear

  • When ready, click Publish

  • The event will appear in regional listings and calendars

Promoting Events

Maximise visibility for your events:

  • Feature on Homepage: Toggle to highlight on your regional landing page

  • Social Sharing: Use the share buttons to post to social media

  • Email to Operators: Notify relevant operators about the event

  • Partner Cross-Promotion: Encourage linked operators to share

Calendar Management

Viewing Your Event Calendar

Switch between views to manage your schedule:

  • Month View: Overview of all events in a month

  • Week View: Detailed look at a specific week

  • List View: Chronological list of upcoming events

  • Map View: Geographic spread of events

Avoiding Clashes

When planning events:

  • Check the calendar for existing events on proposed dates

  • Consider whether events complement or compete with each other

  • Look at events in neighbouring regions

  • Plan for adequate spacing during busy periods

Editing and Cancelling Events

Making Updates

  • Find the event in your list or calendar

  • Click to open the event details

  • Click Edit to make changes

  • Update the necessary information

  • Click Save Changes

Consider notifying attendees if changes are significant.

Cancelling an Event

If an event needs to be cancelled:

  • Open the event details

  • Click Cancel Event

  • Select the reason for cancellation

  • Choose whether to notify interested users

  • Add a message explaining the cancellation

  • Click Confirm Cancellation

The event will be marked as cancelled but remain visible with the cancellation notice.

Event Reporting

Track how your events perform:

  • Go to Events > Event Analytics

  • View metrics including:

- Page views per event - Click-through to ticketing - Social shares - Associated operator traffic

Use these insights to plan future events and demonstrate value to event organisers.

Events bring life to your region and give visitors compelling reasons to plan their trips. A well-managed events calendar showcases your region as a vibrant destination throughout the year.
