Adding Team Members

Launchpad works best when your whole team is on board. Invite staff members, contractors, and colleagues to collaborate on managing your tourism business.

Why add team members?

Bringing your team onto Launchpad means:

  • Shared workload — distribute tasks across your team

  • Better visibility — everyone sees the same bookings and information

  • Collaboration — work together on proposals, events, and projects

  • Accountability — track who did what and when

  • Consistent service — team members can help customers using the same system

Before you start

To add team members, you'll need:

  • Admin access — only admins can invite new team members

  • Email addresses — for each person you want to invite

  • Role decisions — what permissions each person should have

How to add a team member

  • Go to Settings from the main menu

  • Click Team

  • Click the Add Team Member button

  • Enter the person's details:

- Email address (required) - First name - Last name - Job title (optional)

The person will receive an email invitation to join your organisation.

What happens next

For the invitee

When you invite someone:

  • They receive an email with an invitation link

  • Clicking the link takes them to Launchpad

  • If they're new, they create an account

  • If they already have an account, they join your organisation

  • They gain access based on the role you assigned

For you

After sending an invitation:

  • You'll see the invitation listed as "Pending"

  • You can resend or cancel pending invitations

  • Once accepted, the person appears in your team list

Managing pending invitations

Viewing pending invitations

  • Look for the Pending Invitations section

  • You'll see all outstanding invitations

Resending an invitation

If someone didn't receive or lost their invitation:

  • Find the pending invitation

  • Click Resend

  • A new email is sent with a fresh link

Cancelling an invitation

If you invited someone by mistake:

  • Find the pending invitation

  • Click Cancel or Remove

  • The invitation link becomes invalid

Adding multiple team members

To invite several people at once:

  • Look for Bulk Invite or Import Team

  • Enter email addresses (one per line or comma-separated)

  • Select a default role for all invitees

  • Click Send Invitations

You can adjust individual roles after they accept.

Common scenarios

Inviting a tour guide

  • Add them with their email

  • Assign the Staff role

  • They'll see relevant bookings and schedules

  • They can update booking statuses in the field

Inviting an office administrator

  • Add them with their email

  • Assign the Admin role

  • They'll have full access to manage bookings, customers, and settings

Inviting a seasonal worker

  • Add them with their email

  • Assign a limited role like Staff

  • When the season ends, remove their access

Inviting an accountant

  • Add them with their email

  • Assign a role with billing access

  • They can view invoices and financial reports

Tips for adding team members

Use work email addresses

Encourage team members to use work email addresses rather than personal ones. This:

  • Keeps business and personal separate

  • Makes it easier to manage access when roles change

  • Looks more professional


Consider role assignments carefully

Think about what each person needs to do their job. The principle of "least privilege" means giving people only the access they need — nothing more. See Team Member Roles for details.

Communicate the invitation

Let people know to expect an email from Launchpad. Unexpected emails sometimes get ignored or marked as spam.

Troubleshooting

Invitation not received

If someone didn't get their invitation:

  • Check they provided the correct email address

  • Ask them to check their spam/junk folder

  • Add launchpad.net.au to their email whitelist

  • Try resending the invitation

Already has an account

If the person already uses Launchpad (perhaps with another organisation):

  • They'll use their existing login

  • After accepting, they can switch between organisations

  • Their existing data remains separate

Maximum team members reached

Some Launchpad plans limit team size. If you've reached your limit:

  • Review your current team and remove inactive members

  • Consider upgrading your plan for more seats

  • Contact support for options
