Team Member Roles

Launchpad uses roles to control what team members can see and do. Assigning the right role ensures everyone has the access they need — and nothing they don't.

Why roles matter

Proper role assignment:

  • Protects sensitive data — financial and customer information stays secure

  • Prevents accidents — limits who can make major changes

  • Streamlines work — shows each person only what's relevant to them

  • Maintains accountability — tracks who can do what

Available roles

Owner

The organisation owner has complete control over everything in Launchpad.

Can do:

  • Everything an Admin can do

  • Transfer ownership to another person

  • Delete the organisation

  • Manage billing and subscription

Best for: Business owners, primary account holders

Note: There's only one Owner per organisation. To change the Owner, the current Owner must transfer ownership.

Admin

Administrators have broad access to manage the organisation.

Can do:

  • View and manage all bookings, products, and customers

  • Add, edit, and remove team members

  • Access all settings and configuration

  • View financial reports and analytics

  • Manage integrations and API access

Cannot do:

  • Transfer organisation ownership

  • Delete the organisation

  • Change billing without Owner approval

Best for: Operations managers, office managers, senior staff

Manager

Managers can oversee daily operations and team activities.

Can do:

  • View and manage bookings

  • Access customer and CRM data

  • Create and edit products

  • Manage events and activities

  • View reports and analytics

  • Assign tasks to team members

Cannot do:

  • Add or remove team members

  • Access financial settings

  • Manage integrations

  • Change organisation settings

Best for: Shift supervisors, department heads, senior guides

Staff

Staff members have access to the tools they need for daily work.

Can do:

  • View bookings assigned to them or their team

  • Update booking statuses

  • View customer information

  • Access the calendar

  • View products and experiences

Cannot do:

  • Modify products or pricing

  • Access financial information

  • Change settings

  • Manage team members

Best for: Tour guides, front desk staff, activity coordinators

Limited

Limited users have minimal access, typically for specific functions.

Can do:

  • View assigned bookings only

  • Update their own activity status

  • Access specific tools based on configuration

Cannot do:

  • Most other actions

Best for: Seasonal workers, contractors, temporary staff

Viewing team member roles

  • You'll see a list of all team members

  • Each person's role is displayed next to their name

Changing a team member's role

Only Owners and Admins can change roles:

  • Find the team member

  • Click on their name or the Edit button

  • Select a new role from the dropdown

  • Click Save Changes

The change takes effect immediately.

Choosing the right role

Consider job responsibilities

Ask yourself:

  • What does this person need to do daily?

  • What information do they need to see?

  • What changes should they be able to make?


Start with less access

It's easier to grant more access than to revoke it. Start with a more restrictive role and upgrade if needed.

Review regularly

Team needs change over time. Review roles periodically to ensure they still make sense:

  • When someone's job changes

  • During annual reviews

  • When new features are added to Launchpad


Custom permissions

Some Launchpad plans allow fine-tuning permissions beyond standard roles:

  • Select a team member

  • Look for Custom Permissions or Advanced Settings

  • Toggle specific permissions on or off

Role inheritance

Team members inherit permissions from their role. If you need someone to have capabilities from multiple roles, consider:

  • Using custom permissions (if available)

  • Assigning the higher role if appropriate

  • Creating a workflow that works within their current role

Troubleshooting

Someone can't access something they need

  • Check their current role

  • Review what that role allows

  • Either upgrade their role or adjust permissions

  • Consider if they truly need that access

Someone has too much access

  • Review what access is appropriate for their job

  • Downgrade their role if needed

  • Use custom permissions for fine-tuning

New role not taking effect

  • Ask the person to sign out and back in

  • Check that changes were saved successfully

  • Clear browser cache if issues persist
