How to invite new team members to join your organisation

Inviting Team Members

Growing your team in Launchpad is simple. Send an invitation, and your new team member can be up and running in minutes.

Before you invite

Consider these questions first:

  • What will they do? — understand their responsibilities so you can assign the right role

  • What access do they need? — think about which features and data they'll require

  • Are they an employee or contractor? — this might affect the role you choose

How to invite a team member

  • Click Invite Team Member in the top right

  • Enter their details:

- Email address — where to send the invitation (required) - Full name — their name as it should appear in Launchpad - Role — select their role (Admin, Manager, or Staff)

  • Optionally add a personal message to include in the invitation email

  • Click Send Invitation

The invitation is sent immediately to their email address.

What happens next

  • They receive an email with your invitation and a link to join

  • They click the link to accept and create their account

  • They set up their password and sign in for the first time

  • They appear in your team list as an active member

Tracking pending invitations

Not sure if someone's accepted yet?

  • Look for the Pending status next to their name

  • See how long ago the invitation was sent

Resending an invitation

If the invitation hasn't been accepted:

  • Find the pending team member in your list

  • Click the three dots menu on their row

  • Select Resend Invitation

A fresh invitation email is sent with a new link.

Cancelling an invitation

Changed your mind?

  • Find the pending team member

  • Click the three dots menu

  • Select Cancel Invitation

The invitation link becomes invalid immediately.

Inviting multiple people

Need to add several team members?

  • Complete the invitation process for the first person

  • After sending, you'll return to the team page

  • Click Invite Team Member again for the next person

Each person receives their own individual invitation.

Choosing the right role

When inviting, you'll need to select a role:

Role

Best for

Admin

Managers who need full access to run operations

Manager

Team leaders who handle day-to-day bookings and customers

Staff

Front-line team members with limited responsibilities

Common questions

Can I change their role after inviting?

Yes. You can change roles at any time, even before they accept the invitation.

What if they don't receive the email?

Ask them to:

  • Check their spam or junk folder

  • Add [email protected] to their contacts

  • If still missing, resend the invitation


Can I set their permissions before they join?

If you've created custom roles, you can assign these during invitation. Otherwise, assign roles first and the permissions come with them.

Is there a limit to how many people I can invite?

Your subscription plan determines your team size. Check your subscription details for your current limits.

Tips for smooth onboarding

  • Tell them it's coming — let them know to expect an invitation email

  • Choose the right role — match their responsibilities to avoid confusion

  • Share the onboarding checklist — point them to getting started resources

  • Be available — offer to help them through their first day
