How to view and monitor team member actions

Team Activity Log

The activity log records important actions taken by team members across your organisation. Use it to monitor operations, investigate issues, and maintain accountability.

Accessing the activity log

  • Click the Activity Log tab

  • View recent activity across your organisation

Or go directly to Settings > Team > Activity.

What gets logged

The activity log captures significant actions:

Team management

  • Team member invited

  • Invitation accepted

  • Role changed

  • Permissions modified

  • Member deactivated

  • Member removed

  • Ownership transferred

Bookings

  • Booking created

  • Booking modified

  • Booking cancelled

  • Refund processed

  • Payment received

Customers

  • Customer added

  • Customer details updated

  • Customer merged

  • Customer deleted

Products

  • Product created

  • Product updated

  • Pricing changed

  • Availability modified

  • Product archived

Settings

  • Organisation settings changed

  • Location added or modified

  • Integration connected

  • Security settings updated

Understanding log entries

Each activity log entry shows:

Field

Description

Date and time

When the action occurred

Team member

Who performed the action

Action

What they did

Details

Specific information about the action

Location

Where it happened (if applicable)

Filtering the log

Find specific activities using filters:

By team member

  • Click the Team Member dropdown

  • Select a specific person

  • See only their actions

By action type

  • Click the Action Type dropdown

  • Choose a category:

- Team changes - Bookings - Customers - Products - Settings

  • See only those types of actions

By date range

  • Click the Date Range selector

  • Choose:

- Today - Last 7 days - Last 30 days - Custom range

  • Enter specific dates if needed

By location

If you have multiple locations:

  • Click the Location dropdown

  • Select a specific location

  • See only actions from that location

Searching the log

Use the search box to find specific entries:

  • Search by team member name

  • Search by customer name

  • Search by booking number

  • Search by action description

Exporting activity data

To download the activity log:

  • Apply any filters you want

  • Click Export in the top right

  • Choose your format:

- CSV for spreadsheets - PDF for records

  • The file downloads to your device

The export includes all visible entries with full details.

Activity log retention

  • Standard retention: 12 months of activity

  • Extended retention: Available on higher subscription plans

  • After retention period: Data is archived and may require support to access

Check your subscription for your retention period.

Common uses

Daily operations review

Start each day by checking yesterday's activity:

  • Filter to "Yesterday"

  • Scan for any unusual activity

  • Note any issues to follow up

Investigating issues

When something goes wrong:

  • Filter by the relevant date and time

  • Filter by the affected team member or customer

  • Review the sequence of actions

  • Identify what happened and when

Performance monitoring

Review individual team member activity:

  • Filter by team member

  • Set a date range (e.g., last month)

  • Review their activity volume and types

  • Use for performance discussions

Security auditing

For security reviews:

  • Filter by "Settings" action type

  • Look for unusual or unauthorised changes

  • Check for access from unexpected times or patterns

Compliance documentation

For regulatory requirements:

  • Export relevant activity logs

  • Store securely with your compliance records

  • Use to demonstrate operational controls

Understanding patterns

Look for these patterns in your log:

Normal patterns

  • Consistent activity during business hours

  • Booking activity matching your busy periods

  • Regular settings updates by Admins

Patterns to investigate

  • Activity outside normal hours (may be legitimate, but check)

  • Multiple failed login attempts

  • Unusual volume of changes in short time

  • Settings changes by unexpected users

Activity for removed team members

When a team member is removed:

  • Their past activity remains in the log

  • Shows their name and the actions they took

  • Helps maintain historical accountability

  • Cannot be edited or deleted

Who can view the activity log?

Role

Access

Owner

Full access to all activity

Admin

Full access to all activity

Manager

Can view own activity and their team's (if enabled)

Staff

Can view own activity only (if enabled)

Privacy considerations

The activity log:

  • Records business actions, not personal browsing

  • Is visible only to authorised roles

  • Should be used responsibly for legitimate purposes

  • May be subject to privacy regulations in your region


A clear activity log keeps your team accountable and your operations transparent.
