Time tracking reports provide insights into how your team spends their time. This helps tourism operators understand the real cost of different activities, such as tours or event preparation, enabling better planning and budgeting.

How to use it

Once you're on the Time Reports page, you'll see an interface designed to help you quickly pull the information you need.

Generating a Time Report

  1. Choose Your Date Range: At the top of the page, you'll see options to select a specific period. You can pick from choices like "This Week," "Last Month," or "This Quarter," or you can choose "Custom Range" to pick your own start and end dates using a calendar. Click on the date fields to bring up the calendar and select your desired range.

  2. Filter by Staff Members (Optional): Below the date range, you'll see a field labelled "Select Staff Members." By default, it will probably show "All Staff." If you want to see time for just one person, a specific team, or a few individuals, click into this field. A dropdown list of your team members will appear, and you can tick the boxes next to the names you want to include. If you leave it as "All Staff," your report will include everyone who has logged time.

  3. Filter by Projects/Activities (Also Optional): Similarly, there's a "Select Projects/Activities" field. This is useful if you want to focus on how much time was spent on a particular tour, an event setup, or a marketing campaign. Click here, and you'll see a list of all the projects and activities your team logs time against. Tick the ones you're interested in, or leave it as "All Projects/Activities" to get a comprehensive overview.

  4. Generate Your Report: Once you've set your desired filters – the date range is a must, but staff and project filters are up to you – look for the Generate Report button. Click it!

  5. Review Your Report: Your report will appear below the filters. You'll see a breakdown of hours, often organised by staff member, project, or activity, depending on your selected filters. You'll likely see totals, and sometimes even more detailed entries. Take a moment to look over the information.

  6. Export Your Data (Optional): If you want to save this report, share it with others, or do further analysis in a spreadsheet, you'll find an Export to CSV button, usually near the top right of the report area. Clicking this will download your report data in a format that's easy to open with programs like Microsoft Excel or Google Sheets.

Tips

  • Encourage Regular and Accurate Time Entry: The reports are only as good as the data entered! Make sure your team understands the importance of logging their hours consistently and accurately.

  • Review Reports Regularly: Make it a habit to check in weekly or monthly to stay on top of your team's time allocation.

  • Use It for Future Planning: Look at past reports to forecast staffing needs for upcoming peak seasons or new tour launches.

  • Identify Areas for Efficiency: If you notice a lot of time being spent on a particular activity, ask yourself: "Is there a simpler, quicker way to do this?"

  • Budget Smarter: Knowing the real time cost of your services helps you set more competitive and profitable prices for your tours and experiences.

  • Celebrate Successes: If you've implemented a new process that saves time, use the reports to show your team the positive impact of their efforts!
