Recurring bookings allow you to schedule bookings that occur repeatedly. This feature saves tourism operators time by setting up a series of identical bookings for regular tours or ongoing equipment rentals.

Accessing this feature

To initiate a recurring booking schedule:

  1. Go to Bookings.

  2. Click Create.

  3. Within the booking creation interface, find and select the Recurring Schedule option.

How to use it

Follow these steps to successfully establish a recurring booking schedule:

  1. Start a New Booking: From the 'New Booking' interface, select the client and the primary service or resource for the booking.

  2. Specify the first date and time for the first booking in the recurring schedule.

  3. Activate Recurring Options: Find the 'Recurring Schedule' toggle or checkbox and enable it. This action will reveal the recurrence configuration parameters.

  4. Define Recurrence Pattern:

  • Frequency: Choose how often the booking should repeat. Options typically include 'Daily', 'Weekly', 'Monthly', or 'Custom'.

  • Interval:

  • If 'Weekly' is selected, specify the day(s) of the week (e.g., every Monday, Wednesday, Friday).

  • If 'Monthly', specify the day of the month (e.g., the 1st of every month) or the specific day of the week within the month (e.g., the first Tuesday of every month).

  • Custom: For more complex schedules, select 'Custom' to define specific intervals, such as every X days, weeks, or months, providing granular control over the repetition cycle.

  1. Set End Conditions: Determine when the recurring schedule should conclude. You have several options:

  • Never: The booking repeats indefinitely. This option is typically used for internal resource scheduling where an ongoing booking is required and managed manually.

  • After X Occurrences: The schedule will run for a specified number of repetitions. For example, if set to '5 occurrences', the booking will repeat five times.

  • On Date: The schedule will conclude on a specific calendar date, regardless of the number of bookings. The system will create bookings up to, and including, this end date.

  1. Specify Booking Details:

  • Service/Resource: Confirm the specific service, tour, or resource being booked for each booking. Make sure there is consistency across all bookings.

  • Participants/Capacity: Enter the number of participants or the capacity required for each booking. Check this aligns with your resource availability and operational limits.

  • Pricing: The system applies the standard pricing for the selected service to each booking. Check that any applicable discounts or specific rates are applied correctly to all bookings or to individual bookings as required.

  • Additional Information: Include any relevant notes or client-specific requirements that apply uniformly to all bookings. This makes sure all bookings carry the necessary context.

  1. Review and Confirm: Before completing, review the entire recurring schedule summary. This displays the first few bookings, the total number of bookings, and the end date. Confirm that the dates, times, frequency, and all other details are correct.

  • Use recurring bookings for regular events to save time.

  • Double-check the end date to avoid unintended bookings.
