Accessing this feature

To access the Mobile Check-In settings and interface for your event:

Go to Events Management.

Select the specific event for which you wish to manage check-in.

From the event dashboard, click on Mobile Check-In.

This page will provide options to configure check-in settings and generate the mobile check-in link or QR code for your staff.

How to use it

To use the Mobile Check-In feature at your event:

  1. Prepare Devices: Ensure all mobile devices (smartphones, tablets) designated for check-in are fully charged, have a stable internet connection (Wi-Fi or mobile data), and are logged into the platform. For events in areas with unreliable connectivity, consider enabling offline mode if available, which allows data to synchronise once a connection is re-established.

  2. Access Check-In Interface: On each device, open the web browser and go to the Mobile Check-In URL or scan the QR code provided in the 'Accessing This Feature' section. Log in using authorised staff credentials.

  3. Select Event (If Applicable): If your organisation manages multiple events, ensure the correct event is selected within the mobile check-in interface.

  4. Initiate Check-In Session: Once logged in and the event is selected, the check-in screen will display. This includes a search bar and a camera view for scanning.

  5. Attendee Search: For manual lookups, type the attendee's name, email address, or ticket reference number into the search bar. The system will display matching records. Select the correct attendee from the search results.

  6. QR/Barcode Scanning: Position the device camera over the attendee's QR code or barcode displayed on their ticket (printed or on a mobile device). The system will automatically scan and identify the attendee.

  7. Confirm Check-In: Upon successful identification, the attendee's details will appear. Confirm their identity and tap the Check-In button. The system will mark their attendance in real-time.

  8. Handle Multiple Tickets/Guests: If an attendee has multiple tickets under one booking or is checking in guests, the system will prompt you to select which tickets to check in or to confirm the number of guests.

  9. Address Issues: If an attendee's name is not found, or there are ticket discrepancies, refer to your event's established protocols for resolution (e.g., direct to a help desk, verify ID). The system may allow for manual override or marking as 'No Show' if required.

  10. Monitor Progress: The mobile check-in interface displays real-time statistics, such as total attendees checked in, providing an immediate overview of event entry progress.

  11. End Session: At the conclusion of the event or a shift, ensure staff log out of the mobile check-in interface to maintain security.

Tips

  • Configure all check-in settings in advance.

  • Conduct testing with various ticket types and scenarios on all devices intended for use, ensuring staff are familiar with the interface and troubleshooting common issues.

  • Provide clear, concise training to all check-in staff. Ensure they understand the check-in process, how to use the mobile devices, and the protocols for handling exceptions (e.g., lost tickets, unrecognised attendees, VIPs).

  • Prioritise a stable and robust internet connection (Wi-Fi or mobile data) at all check-in points. If using offline mode, ensure staff understand the synchronisation process and any potential delays.

  • Ensure all devices are fully charged before the event and have backup power solutions (e.g., power banks). Have spare devices readily available in case of technical malfunction.
