Cancel events and manage refunds within Tourism Accelerator. This allows you to quickly notify guests of changes and process refunds, maintaining positive relationships and minimising disruption to your business by offering alternative dates or discounts.
Accessing this feature
Go to Events Dashboard > Manage Events
How to use it
Locate the Event
From the Events Dashboard, proceed to Manage Events.
Identify and click on the specific event you intend to cancel.
Initiate Cancellation
On the event's detail page, locate the Actions menu or a dedicated Cancel Event button, typically found in the top right-hand corner or within an Event Management section. Click to begin the cancellation process.
Select Cancellation Type
Full Cancellation: Choose this option if the entire event, including all dates and sessions, is being cancelled. All registered attendees will be affected.
Partial Cancellation: Select this if only specific sessions, dates, or ticket types within a multi-session event are being cancelled. You will be prompted to specify the exact components to be cancelled.
Determine Refund Policy
The system will display the default refund policy configured for the event or your organisation. You will have options to apply a specific refund approach for this cancellation:
Full Refund: All affected attendees receive a 100% refund of their ticket price.
Partial Refund: Specify a percentage or a fixed amount to be refunded per ticket.
No Refund: No refunds are issued. This option should align with your published terms and conditions and be used with careful consideration for guest satisfaction. Confirm your chosen refund option.
Manage Attendee Communication
The platform automatically generates a standard notification email to all affected attendees, informing them of the cancellation and refund status.
You have the option to customise this message to provide additional context, offer an apology, or suggest alternatives (e.g., future event discounts, credit for other services).
Carefully review the default or customised message before proceeding. This message will be sent immediately upon final confirmation of the cancellation.
Review and Confirm
A summary screen will display all cancellation details: event name, cancellation type, selected refund policy, and the customised communication message.
Carefully review all information to ensure accuracy and compliance with your organisation's policies.
Once satisfied, click Confirm Cancellation. This action is irreversible and will initiate the cancellation process.
Track Status
The event's status will update to Cancelled across the platform.
Refunds, if applicable, will be queued for processing according to your payment gateway's typical timelines.
You can track the status of individual refunds within the Financials or Transactions section associated with the event.
Attendee notifications are dispatched immediately upon confirmation.
Tips
Clearly communicate the reason for cancellation in your customised message.
Consider offering an incentive, such as a discount on a future booking, to retain guest goodwill.
Review your organisation's cancellation policy regularly to ensure it is fair and up-to-date.
Track guest feedback after a cancellation to identify areas for improvement in your communication or policies.
